Online Appointment System

The LRC uses TutorTrac scheduling software. A week before the semester, lists of current courses and enrolled students are loaded into the program.

Students log in using their Access ID and password. The most common reason for log-in failure is late registration. A student who cannot log in should contact the LRC. Faculty can access the system to see tutor availability for their courses.

Students choose a course from a drop-down menu and a list of open appointments appears. If no appointments appear, a tutor is not available and the student is prompted to contact the LRC. Tutors are hired throughout the semester. We make every attempt to assure that all tutor requests are met.

Open appointments appear under tutor names in green. This enables students to choose not only the time, but also their tutor. Once a student has selected a time, an appointment window opens. The student adds additional information and finalizes the appointment. That time is no longer visible on the search screen. Times in blue indicate that the tutor is working in one of the drop-in labs at that time.

Students cannot make same-day appointments; they must be scheduled at least 18 hours in advance in order to provide ample notice to the tutors. Cancellations must be made at least two hours before an appointment or it is considered missed. After two missed appointments, access is rescinded for the semester. Students who have a legitimate reason for missing an appointment can meet with the system administrator, who has the authority to reinstate access.

TutorTrac sends automatic appointment and cancellation reminders to students and tutors prior to the appointment. As of Fall 2017, students may opt-in to receive appointment text alerts from TutorTrac.

Appointments can be made seven days a week and are held in tutoring space outside the LRC on the second floor of the Lilley Library.
