BCM13 Copier Procurement Policy

The purposes of this procedure are to outline the process used for the acquisition of departmental and/or school copy machines and to make the most efficient use of college resources.

The University is currently under contract with RICOH Office Solutions for lease and/or purchase of copy machines. The Copy Center is the college’s liaison with RICOH. Whenever a departmental or school office needs a replacement copier, it will work with the Copy Center to identify its copying needs. The Copy Center will then submit a copier assessment form to RICOH to determine appropriate copiers. All recommendations and costs received by the Copy Center will be reviewed with the department or school requesting the machine. Once a decision is made on a specific machine, the Copy Center will initiate the paperwork and follow the order through delivery, setup, and training

In order to utilize copying resources effectively and per University procedure, no office will be permitted to purchase or lease a copier with greater than 60 copies/minute capability without permission from the Chancellor’s office. Offices are expected to utilize the existing copying resources of the Copy Center.
