Penn State Behrend’s public events calendar is a curated, high-value resource for prospective students and families, Behrend community members, and the general public. Its purpose is to highlight events that are widely relevant, accessible, and of interest beyond a single small group. It is managed by the college's Office of Strategic Communications.
The calendar is linked from the homepage of the Behrend website and also appears on the home screen of the Behrend experience in the Penn State Go mobile app.
Note: While the listings are the same, the audiences differ. The mobile app primarily serves internal users, while the website reaches a broader public audience. When in doubt, prioritize the perspective and needs of the public-facing website, which receives more traffic.
1. Events Eligible for Posting
Events should meet at least one of the following criteria:
- Open to the Public
Events where attendance is not limited to a specific group, and the public may attend without special permission.
Examples: Public lectures, concerts, planetarium shows, and other open performances or programs. - Major College Events
Large-scale activities that involve or interest a significant portion of the campus community, including faculty, staff, and students.
Examples: Key academic dates, move-in days, commencement, major ceremonies, large student-organized events open to all, campus-wide celebrations. - Community/External Audience Events
Public relations, recruitment, or community engagement events where the college is intentionally presenting itself to audiences such as parents, alumni, or local residents.
Examples: Admissions events (undergraduate or graduate), significant athletics events, Development and Alumni Relations events, community benefit events (e.g., community career fair, STEM fair, Trash 2 Treasure sale).
2. Events That Should Use Other Channels
The public calendar is not for promoting activities intended for a small, internal audience.
- Student club/group meetings or activities → Use Discover West.
- General athletic activities → Use Behrend Athletics website.
- Department-specific internal events → Use departmental communication channels or targeted emails.
- Training sessions or specialized workshops with limited scope → Promote through targeted outreach unless the event meets public/college-wide criteria.
3. Exceptions
In rare cases, the calendar may be used to promote certain department-specific programs when:
- The event is open to the public and
- Inclusion serves a strategic visibility purpose for the college.
Note: Frequent inclusion of such events can clutter the calendar, reducing its effectiveness, so this should be used sparingly.
4. Posting Philosophy
- Public-facing first. The calendar is meant to serve the broader community and showcase the college’s major activities.
- Quality over quantity. Fewer, more significant listings make the calendar easier to navigate and more valuable as a resource.
- Consistency. Apply criteria evenly to maintain credibility and avoid confusion.
5. Submissions
To be considered for the college events calendar, events may be submitted to Strategic Communications through the event publicity form or by using 25Live when reserving a room.
A complete event description is required for inclusion on the calendar (with any registration details and costs), and the event’s date and time must be accurate for attendees. Any setup or takedown time should be entered under “Additional Time” in 25Live. The public calendar displays only the event’s entered date and time and does not show setup or pre/post details.
Note: The 25Live calendar submission process is currently being refined and will be updated to include additional questions.
